Job location(s): Schiphol The role of Executive Assistant provides an excellent opportunity for those candidates looking to make their mark on the day to day executive administration of a newly formed leadership team within Cargill Protein Europe’s (CPE) business. Supporting CPE’s Managing Director, the Operations Manager and HR Business leader, you will become part of a greenfield team that currently has 8 members. In this role, you will make independent decisions about (travel) planning, organizing and scheduling, including organizing meetings, event logistics and customer requirements. In addition, you will be responsible for support and management of correspondence as well as data management systems.

Major Tasks

_Executive Leadership support_

+ High level support to Leadership team members of CPE business: MD/ BOSC Leader/ HR Leader

+ Attendance and organization of meetings, attendees, minutes, actions, communications, logistics and follow up

+ Support on presentations and reports, coordinating input from multiple sources

+ Lead/ manage diary management

+ Lead/ manage travel organization

+ Management of documents and records

+ Organisation of key business events

+ Support general admin and finance processes _Support External and Internal Visits_

+ Interaction with key business stakeholders and customers

+ Ensure professional image maintained for our visitors

+ Organisation of visits _Documents & Correspondence_

+ Uses discretion to create highly confidential documents with complex formatting.

+ Conducts grammar/spell checks on basic content provided by more senior team members including:

+ Legal / Businesses letters / Emails / Forms / Meeting materials (i.e. agendas, presentations, handouts, charts, etc.) _Work on continually improving administrative processes for the leaders while working with other administrative colleagues/ Cargill business services._


Minimum Required Qualifications

+ Excellent working knowledge of Microsoft Office suite packages (including Outlook, Word, Excel, PowerPoint, SharePoint, Microsoft Teams), and the internet (including social media such as yammer)

+ Personable and confident individual who possesses excellent verbal and written communication skills, exhibiting diplomacy and discretion at all times

+ Highly organized

+ Minimum 5 years business administration experience, including experience of directly supporting senior manager/director level or equivalent

+ GCSE Maths and English or equivalent

+ Ability to work independently and also as a team member

+ Proactive

+ Strong organizational skills

+ Strong attention to detail and follow-up

+ Ability to prioritize competing demands and handle a multitude of tasks, staying calm whilst under pressure

+ Ability to quickly and effectively solve problems

Preferred Qualifications

+ Level 3 Business Administration or equivalent

+ Shorthand

+ Secretarial diploma.
