Position Purpose & Summary: Provide full administrative and support work at a senior level on behalf of the Managing Director and/or Leadership Team members. The purpose of the role is to free the person or people this position supports from time on organizing and administrative tasks, so that they can spend maximum time on strategic tasks. The incumbent of this role should take initiative as appropriate and work in close collaboration with the people they support.

Principal Accountabilities:

_30% Administrative support responsibilities include, but are not limited to:_

+ Manage diary, assessing priority of appointments and reallocation as necessary

+ Manage travel arrangements including visas, accommodation for individuals that are supported by this role, and for incoming visitors from time to time, as well as organizing group events involving the leadership team

+ Process incoming correspondence, prioritize and organize

+ Collating and filing expenses

+ Support onboarding new employees: IT equipment to onboarding program; TGRC policy and other processes

+ Managing databases, filing systems, SharePoint, Teaming and other: maintenance of documents and organizing structure for shared information _40% Organizational support responsibilities include, but are not limited to:_

+ Typing, compiling and preparing reports, presentations and correspondence for LT meetings and JV Board meetings

+ Attending LT meetings in a coordinating role; booking of rooms, pre-work sharing, sharing presentations, organize and prepare supporting materials (handouts), taking notes of priorities and sharing and tracking follow up actions post meeting

+ Internal communications on behalf of the Managing Director: send out announcements, coordinate translations, liaise with HR and Comms lead; send out welcome notes to new employees

+ Planning and organizing meetings, mainly Leadership Team and Board meetings; ensuring timely scheduling, managing attendance, pro-active rescheduling if needed

+ Creation of annual meeting plan and allocation of topics per meeting; create and present agenda

+ Creation and maintenance of annual planning of recurring and/or large events, such as Board meetings, Talent reviews, global and local celebrations, project milestones, Green Day, compensation reviews, etc. all in aid of pro-active planning and reminding the leadership of important tasks and deadlines

+ Support or lead organization of major business events and conferences _30% Project and overarching support responsibilities include, but are not limited to:_

+ Take a lead role in liaising with peers throughout the business to ensure back up and smooth collaboration as well as efficiency and consistency in approach and activities

+ Miscellaneous tasks to support, which will vary according to the manager’s remit, eg completing corporate governance reporting (to ensure that the business is being run properly and complying with legislation and regulations) or conducting research

+ From time to time may lead projects in support of CAN MEA continuous improvements initiative support


+ Bachelor’s degree in business administration or any related field

+ Minimum of 7 years as a Personal Assistant or Management Assistant in an international corporate environment, accustomed to a stand-alone role

+ In addition to Dutch, excellent written and spoken English due to the international nature of our business

+ Excellent IT skills, including a working knowledge of presentation packages preferably Microsoft Office PowerPoint, Word, Excel and Outlook. In addition, experience in creating and maintaining SharePoint and being business savvy with social media applications.

+ A flexible, pro-active and self-starting approach to work, including the ability to priorities and re-prioritize according to business priorities

+ Accountable to problem solve, meet deadlines with excellent attention to detail, maintaining a high level of accuracy

+ Exceptional interpersonal and communication skills, enabling professional interaction with a wide range of contacts on all levels, always inclusive of all cultures; open and empathic to others values and opinions

+ Ability to deal with sensitive information with discretion and to maintain confidentiality

+ Challenge assumptions and contribute to LT meetings
