Please do NOT discard the boxes the new laptop arrives in; use them to return your old laptop using the pre-paid shipping label provided.

Pre-Provisioning checklist
1: Make sure "ALL" your data is on OneDrive
The default configuration on Cargill computers is to backup\sync your the Documents, Pictures and Desktop folder to your OneDrive. By backing up these folders to your OneDrive, they're protected and available across all your devices. Please ensure all the data you want to access on your new computer is stored on your OneDrive. If you have a special folder on your C:\ drive, now is the time to copy it to your OneDrive!
The “Downloads” folder is often times one of those folders Clients save files to their local hard drive. Please copy any of the download files to your OneDrive and they'll be available on your new computer.
Back up important Windows folders to OneDrive
Open your OneDrive settings (select the OneDrive cloud icon in your notification area, and then select the OneDrive Help & Settings icon then Settings.)
- From the Sync and backup tab.
- Select Manage backup.
You will see a Back up Folders on this PC screen like the one below.
Put Other Files in OneDrive
If you have files/folders elsewhere (Downloads, custom folders, external projects):
- Drag them into the OneDrive folder (usually C:\Users\YourName\OneDrive)
Verify Your Backup Is Working
- Cloud icon ✅ = fully backed up
- Cloud icon 🔄 = syncing
- Red X ❌ = issue (usually storage or sign‑in problem)
Common Gotchas (Very Important)
- ❌ Downloads folder is NOT auto‑backed up
- ❌ Files outside OneDrive folders are not protected
- ❌ Programs/apps are not backed up
- ✅ Deleting a file locally deletes it from OneDrive (but you can restore for 30+ days)
2: Microsoft OneNote
Upon opening OneNote on the new computer, you will be prompted to “Select notebooks to open”; please select all of them!
If you don't see a Notebook you use regularly, please copy your Notebook paths on your existing computer and send an email or Teams chat to yourself so you can import them on your new computer.
To copy your OneNote notebook to another account, follow these steps:
- From your old computer, logon to the OneNote desktop application.
- From the Files menu, select the Notebook you want to use on your new computer and copy the path; see red box below. Email yourself the path or send yourself a Teams chat message.
- From your new computer, open OneNote and go to the File menu. Select the Open option and paste in the path you sent yourself in email or Teams chat to open the notebook. You may also see the notebook in your Recent menu option to open the desired notebook as well.
3: Chrome Users
Add Chrome bookmark migration steps
To migrate Chrome bookmarks to a new computer, follow these steps:
- Open Chrome on computer and click on the three-dot menu icon in the top-right corner.
- Go to Bookmark Manager and select Export Bookmarks.
- Save the bookmarks as an HTML file to your desired location.
- Open Chrome on your new computer and repeat the sign-in process.
- Go to Bookmark Manager and select Import Bookmarks.
- Choose the HTML file you exported earlier and click Open to import your bookmarks.
This process ensures that your bookmarks are transferred correctly and that you can continue browsing your favorite websites seamlessly on your new computer.

4: Windows Desktops
Windows Desktops are built with provisioning software that allows technicians to pre-select all software from your old computer to be installed onto the new computer. As a result, you will be able to logon to your new desktop and access your applications.
Some software, however, requires special configuration and you will need to contact the Service Desk to open a ticket for assistance.

5: New employees need to change their password
If you are new to Cargill, your manager will provide your initial password to you. After you get logged in, you can change it via https://access.cargill.com. Click HERE for detailed instructions.
6: Install Applications
Install applications on your Windows computer
Your computer comes with Microsoft Office, Virus protection software and the Edge Browser. To install additional software there are two methods.
- Search and select Company Portal from your Windows search menu.
After signing into the Company Portal, select the Apps menu where you can self-service the “authorization not required” packaged software applications you need to install by clicking on the “…” menu and selecting Install for the desired software.
- For commercial software requiring a license, go to https://www.cargillnow.com/esc and use the “Request Software” form.
It takes a day for ServiceNow to recognize your ID is using the new computer. As a result, it's likely you will need to check the box saying, Device Not Found and then key in the serial number of your new computer where it will enumerate and you can submit the request to install the licensed software.
Install applications on your MAC computer
- Click on the Cargill application button
- Select “My Apps” on the left side to reveal all free apps that can be installed. Select the application you'd like install from the list. You can search for apps in the Search field on the left side.
For commercial software requiring a license, go to https://www.cargillnow.com/esc and search on the name of the software you need. Side Note, need to update this after Service Now integration
7: Install Printers
1) Open Personal Print Manager
- Launch Personal Print Manager from your desktop or Start menu.
2) Continue in Browser
- In the Personal Print Manager window, click “Continue in Browser.”
3) Authenticate
- When prompted, select Windows Authentication.
- The application will automatically reopen in Personal Print Manager once authentication is complete.
4) Find and Add a Printer
- Click “Find a New Printer.”
- In the search box, enter the printer name.
- Select the correct printer from the list and follow the prompts to add it.
8: Miscellaneous Tasks
If necessary, you made need or want to:
1) Adjust your time zone by right-clicking on the time and date in your lower right-hand corner of your screen and selecting “Adjust date and time”
Click on the Time zone drop down menu option and change the time zone accordingly.
The Microsoft default is “Pacific Time” where you may need to change it to your time zone.
2) Setup Windows Hello for “Passwordless” logons via the LINKED instructions
3) Submit a request for Admin Rights for your new computer via this Cargillnow Form
4) Submit a request for USB Access for your new computer via this Cargillnow Form
5) If you have “Mapped Drives” on your computer, you'll want to take note of those so you can re-map those on your new computer. In the example below the S:\ and T:\ drives are mapped via logon script automatically. The L:\ drive is the additional mapping you need to add manually on your new computer.
9: Return your old computer
It is extremely important you make the transition to your new computer within two weeks.
Please send the old laptop & laptop power cord or desktop computer back to the address below. Use the pre-paid shipping label (red arrow) which is taped to the inside of the bigger box the new laptop came in (blue box). The address will be either:
